Re-Import Updated Quickbooks Online Cost Catalog to Procore Estimating

Background

As material costs and labor rates fluctuate, you may need to update your Product and Service list in QuickBooks Online to maintain accurate Job Costing. Because the integration does not automatically sync every minor price change in real time, a manual refresh is required to align your Bidding environment with your Accounting data.

Things to Consider

  • Required Permissions:

    • 'Administrator' level user role in Procore Estimating.

  • Additional Information:

    • Deleting the QuickBooks subfolder only removes items from your available Cost Catalog. It will not delete or alter any cost items already added to active Estimates or Proposals.

    • Performing a fresh import will bring in all active items from your QuickBooks Products and Services list.

Steps

  1. Navigate to your account in Procore Estimating.

  2. Click the Cost Catalog tab.

  3. In the Catalogs sidebar, expand Imported Parts to find the QuickBooks subfolder.

  4. Click the ellipsis Icon Ellipsis Vertical icon next to the Quickbooks sub folder.

  5. Click Delete.

  6. Click Delete again within the pop up window to confirm deletion.

  7. Click the ellipsis Icon Ellipsis Vertical icon in the upper right side of the screen.

  8. Select Import Catalog Items.

  9. Select Import from Quickbooks.

  10. A new Quickbooks sub folder will appear under the Imported Parts folder containing your updated cost items.
