Scheduling: Create a Lookahead Schedule

Background

The Lookahead tab provides a "collaborative window" into the master schedule. It allows field teams to see upcoming work without the risk of accidentally shifting the project's critical path. Within this view, master tasks are locked (grayed out), but you can add specific field details that the crew needs to execute in the immediate future.

Things to Consider

  • Required User Permissions: 'Standard' level permissions or higher on the project's Scheduling tool.

  • Additional Information:

    • IMPORTANT! Lookahead schedules are only available when you create a schedule by uploading a read-only schedule file. This feature is unavailable if you use other schedule creation methods.

    • Changes made to subtasks in a look-ahead do not push back or alter the dates of the master schedule file.

    • Save time and stay flexible by scheduling detailed tasks only 3 to 4 weeks in advance, while keeping future phases at a high level.

    • A master activity can only be brought into the Look-Ahead once. If you delete it, it cannot be re-added to that look-ahead.

Steps

  1. Navigate to the project's Scheduling tool.

  2. Click the Lookahead tab.

  3. Click the Date Range filter in the top toolbar.

  4. Select a window of time (e.g., the next 3 weeks) and click Apply.

    • Note: Procore will automatically pull in all activities from the master schedule that fall within those dates.

  5. Review the imported activities:

    • Master Tasks: Represented by light gray bars on the Gantt chart.

    • Subtasks: Any detailed steps previously added will appear nested under their parent master task.
