Configure Action Steps for Incident Workflows

Background

When building or editing an Incident workflow, you have access to a unique step type called an Action Step. This allows you to pause the workflow until your team provides specific mandatory documentation or ensures all linked observations are closed.

Things to Consider

  • Required User Permissions:

    • To view, create, or edit a custom workflow at the company level: 'Admin' level permissions on the Company level Workflows tool.
      OR

    • 'Read Only' or 'Standard' level permissions on the Company level Workflows tool with the 'View Custom Workflows' and 'Create and Edit Workflow Templates' granular permission enabled on your permissions template.

Prerequisites

Basic Workflow Setup: This tutorial covers the Incident-specific Action Step configurations. To learn how to build the foundation of a workflow diagram, assign roles, and set up conditional routing, see the Company Level Workflow Templates Creators Guide.

Steps

  1. Navigate to the Company level Workflows tool.

  2. Create a new diagram workflow template for Incidents, or click Edit next to an existing Incident workflow template.

  3. Click a step on the canvas (or add a new one) to open the Step Details panel.

  4. Under 'General Information', select Action Step from the 'Type' drop-down menu.

  5. Configure the specific action required to pass this step:

    • To require documentation: Scroll to the 'Required Incident Documentation - Details' section and click the Required Record Types drop-down. Select the mandatory documents you want to enforce, such as Near Miss Record, Root Cause Analysis, or Incident Action w/ Observation.

    • To require closed observations: Enter a descriptive title in the 'Step Name' field, such as "Check for Observations to Close". By assigning this as an Action Step, the workflow will automatically verify that all observations linked to the incident are marked as 'Closed' before the workflow can proceed.

  6. Complete any remaining workflow configuration steps, then click Save & Publish (or Save as Draft if you are not ready to activate it).
